Overview
The Admin Assistant role at Vardot is people-first: you'll be the face of our Amman office. You'll own the front desk, keep the office running smoothly day-to-day, and be a trusted extra pair of hands for our People Operations team and leadership.
Responsibilities
Reception & Front Desk:
- Be the first face and voice of Vardot: greet visitors, candidates, and guests daily
- Handle incoming calls and route inquiries appropriately
- Manage meeting rooms and prepare spaces for guests, interviews, and meetings
- Maintain visitor logs and coordinate access for guests and vendors
Office & Facilities:
- Ensure office cleanliness and readiness; supervise cleaning providers
- Track and reorder stationery, supplies, and refreshments; process orders within the approved budget
- Coordinate with vendors (couriers, maintenance, suppliers) to keep the office running smoothly
- Support health & safety upkeep and file archiving
Admin Support:
- Provide administrative support to Finance and the CEO, including scheduling and correspondence
- Handle document printing, scanning, and filing
HR Support :
- Support onboarding/offboarding logistics, including new hire welcome kits and workstation setup
- Assist with maintaining employee records and basic HR documentation
- Support the HR inbox and routine HR workflows
- Help coordinate engagement activities, the event calendar, and Vibe Committee initiatives
Requirements:
- Bachelor's degree 1 3 years of experience in an administrative, front-desk, or office coordination role
- Able to be on-site daily, 9:00 AM 6:00 PM, in Deir Ghbar, Amman
- Strong organizational skills and attention to detail
- Professional, friendly demeanor; strong verbal and written communication
- Proficient in Microsoft Office / Google Workspace
- Fluent in English and Arabic
Nice to have:
- Prior experience specifically in a reception or front-desk role
- Exposure to HR tasks or HRIS tools
