Job Title
Operations Manager

Job Scope

The Operations Manager is accountable for fulfilling a smooth ordering and delivery process for strategic partners through the optimization of shipments and logistics activities. S/He handles RMA processes and procedures and submits insurance claims in a timely and efficient manner.

Operations & Order Management

• Oversee and coordinate daily order processing activities with vendors and business units across all product lines.
• Manage the end-to-end sales order cycle, ensuring timely processing, fulfillment, and delivery.
• Handle customer and partner inquiries related to order processing, shipments, and license delivery requirements.
• Administer and manage vendor portals, ensuring data accuracy and operational compliance.
• Lead and supervise Operations teams across Jordan and Iraq, ensuring efficient execution of daily activities.
• Monitor shipment progress and delivery performance to ensure compliance with agreed lead times.
• Manage customer communications related to contract renewals, invoice submissions, and operational requirements.
• Build and maintain strong relationships with vendor representatives to facilitate smooth procurement activities.
• Support the onboarding of new distributors and provide operational guidance throughout the setup process.
• Conduct compliance reviews of customers and orders while coordinating with internal Audit and Compliance teams.
• Ensure distributors maintain up-to-date export compliance documentation and regulatory requirements.
• Collaborate with Finance teams on credit management, credit holds, goods-in-transit monitoring, and cost allocation processes.
• Manage warehouse operations and coordinate product deliveries and collections across multiple locations.
• Review project cost sheets, purchase orders (POs), and Bills of Quantities (BOQs) within project management processes.
• Process project bookings in the ERP system and oversee issuance of invoices and delivery notes.Monitor inventory-related provisions, including stock, work-in-progress (WIP), and advance billing provisions.
• Lead stakeholder communications and negotiations with vendors, distributors, service providers, and external partners.

Logistics Management

• Select and manage logistics service providers, negotiate transportation contracts, and secure competitive freight rates.
• Evaluate and implement optimal shipping routes and transportation solutions to ensure efficient delivery operations.
• Manage the complete logistics cycle, including inbound and outbound shipments, while maintaining high service levels and customer satisfaction.
• Coordinate and monitor outbound shipments, ensuring timely clearance and delivery through close collaboration with forwarding and clearing agents.
• Track shipments proactively and provide regular status updates to internal and external stakeholders.
• Collaborate closely with Sales and Warehouse teams to ensure seamless order fulfillment and shipment execution.Liaise with customs authorities and clearing agents to maximize operational efficiency, quality, and compliance.
• Review and validate export documentation, customs requirements, and ownership transfer documents.Oversee inventory storage and stock movement through effective coordination with warehouse operations.
• Conduct monthly inventory audits and ensure inventory accuracy.
• Ensure adherence to warehouse health, safety, security, and hygiene standards.Work with shipping and customs service providers to optimize costs related to freight, customs clearance, and final delivery.
• Lead communications and commercial negotiations with logistics partners and external service providers. 

• Lead cross-functional teams across multiple countries.Drive operational efficiency, service quality, and process improvements.
• Ensure compliance with company policies, vendor requirements, and regional regulations.
• Support business growth through effective supply chain, logistics, and operational management. 

Bachelor’s degree in Business Administration, Supply Chain Management or any other related field

At least 7 years of relevant experience.
