Youth to Professionals (YouthtoPro) is a non-profit social enterprise connecting Arab youth with Professionals in diverse fields worldwide. Our purpose is to “Empower Arab youth to become effective, productive citizens and build their communities,” and we do this by providing mentorship and coaching services to university students. The founding members working to achieve this vision are composed of 5 women, putting all their experience over the years in creating an initiative that would help build our Arab youth and communities.  


Job Description:


We are seeking a motivated, highly organized and detail-oriented individual to join our team as a Business Administrator. The Administrator will be responsible for supporting the company’s operations, managing data and information, and reporting to management. This role has the potential to expand to include finance and marketing support. The ideal candidate must have excellent organizational skills and be proficient in the latest MS Office tools, as they will be working virtually and collaborating with multiple managers within the organization.  


Key Responsibilities:

  • Ensure administration work undertaken is in accordance with each department procedures, standards, and policies   
  • Manage multiple tasks within requested time frames and with minimal supervision 
  • Manage and organize company data and information  
  • Maintain and update databases and relevant documentation to support departmental functions  
  • Retrieve, collate and analyze data / information, including the preparation of management reports 
  • Extensive meeting management involving coordination with multiple managers and across varied time zones, meeting minutes and actions follow-ups 
  • Preparation of meetings with customers, professional companies and senior executives (e.g. documents, video conferencing and other logistics) 
  • Support and coordinate organizational events  
  • Collaborate with leaders to support operations, finance, HR and marketing operations 
  • Continually learn and act as knowledge resource for company administrative processes and policies.  
  • Manage external communication with clients, stakeholders including mentors & mentees 


Working Conditions:

  • This is a virtual position, requiring the ability to work from home or another remote location 
  • Flexible working hours may be required to accommodate different time zones 
  • Occasional travel to company locations may be necessary 


Probation and reporting line:

Probation period is 3 months and to be confirmed after achieving the agreed upon job objectives monthly. You will report directly to the Operation Director. 

Skills

Qualifications:


  • Bachelor's degree in Business Administration or related field 
  • At least 2-3 years of experience in the administrative role  
  • High Proficiency in MS Office Suite, particularly Outlook, Sharepoint, Excel, Word, and PowerPoint 
  • Excellent organizational skills with a strong focus on attention to detail  
  • Excellent written and verbal communication skills (email, phone, in person) strong interpersonal skills  
  • Proficient in English and Arabic languages.  
  • Experience with data management and reporting  
  • Ability to multi-task and flexibility to re-prioritize in a changing and fast paced environment 
  • Familiarity with finance and marketing concepts is a plus 
  • Expertise in working with youth and educational institutes is a plus.
