JOB TITLE: HR Coordinator

External representation and communications :Level (2)

-Regular contacts require the exchange of basic factual information to suppliers, beneficiaries or other partners

-Little impact on the reputation and performance of the organization

CHILD SAFEGUARDING: Level (3) the role holder will have contact with children and/or young people because she/he is supervising for implementing the police checking/vetting process staff.

ROLE PURPOSE:

Provides support to the HR and Safeguarding Manager on all personnel matters.  Performs a variety tasks in support staff.  Coordinates and facilitates trainings as appropriate.

SCOPE OF ROLE:

Reports to: HR and Safeguarding Manager

KEY AREAS OF ACCOUNTABILITY:

Support the delivery of effective Programmes, in both development and humanitarian contexts, by:

Human Resources:

  • Coordinate employee recruitment and selection process in order to ensure a timely organized and comprehensive procedure is used to hire employee, which involves developing job descriptions and person specifications, preparing job adverts, checking application forms, shortlisting, interviewing and selecting candidates.
  • Update the HR information system in a timely and accurate manner. This includes setting up new starters, leavers, amending personal details, updating contract information, inputting performance ratings, training information, preparing monthly reports for national and international staff.
  • Provide proper documentation for proper filing systems, correspondence and other material related to Human Resources files.
  • Maintain accuracy and integrity of data through timely input to electronic and hard copy personal files. 
  • Maintain confidentiality in respect of all candidates’ and employees’ records whether manual or computer maintained and ensure that all records are held securely. 
  • Support to ensure all relevant payroll documents are signed off and submitted accurately and in line with payroll deadlines on a monthly basis.
  • Support in processing staff ID badges, official letters, and termination letters of staff, and liaise with finance for final payment.
  • Follow-up with the resigned staff to ensure having proper handover and completing their checklist and all related documents.
  • Prepare staff contacts and make sure they are signed in a timely manner.
  • Assists in organizational training and annual training plan (collecting offers, booking seats for staff, getting agendas for training, preparing training space).
  • Investigate in all Child Safeguarding and Code of Conduct (COC) Incidents and prepared all related reports as required.
  • Conduct Field visits to SCJ working location in regular basis, to ensure that all Child safeguarding measures are in place, and document that by regular reports 
  • Support in responding to employees’ requests.
  • Monitors staff attendance and leaves. 
  • Issuing volunteer, consultancy agreements, and service agreements and insure proper filling for it.
  • Conduct orientation& induction sessions, health insurance for national staff, recruitment process and Payroll and trainings).
  • Develop and facilitate all the onboarding activities. Communicate with other departments to create the records for new hires and do all the preparation.
  • Any other task assigned by the supervisor or HRD.

QUALIFICATIONS AND EXPERIENCE

Essential:

  • BA degree in HR, Business Administration or related field.
  • 4 years’ experience in the HR or administrative field
  • Knowledge of principles and practices of human resources.
  • Knowledge of jordainian labor low
  • Verbal and written communication and organizational skills.
  • Ability to plan and organize and work in a systematic and organized manner.
  • Detailed oriented
  • Customer service oriented.
  • Ability to priorities competing demands.
  • Diplomacy tact and negotiating skills.
  • Strong team player with high team spirit and positive attitude.
  • Flexibility under pressure and in response to changing needs.
  • Productive and responsive to instructions and project policies and regulations.

  • Computer knowledge especially MS office, spreadsheet, PowerPoint, outlook. .
  • Bilingual English and Arabic Language.

Desirable:

  • Familiarity with Jordanian Labour law.
