Office Assistant

We are looking for an Office Assistant to join our team. The Office Assistant will provide administrative support focusing on managing management calendar and travel arrangements. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Responsibilities:

Calendar Management:
• Maintain and manage management team calendar, scheduling meetings, appointments, and events.
• Coordinate and confirm meeting arrangements, including room bookings, equipment, and catering if required.
• Prioritize and manage multiple scheduling requests to ensure optimal time management of the calendar.

Travel Coordination:
• Arrange domestic and international travel for management team, including flights, accommodations, transportation, and itineraries.
• Ensure all travel arrangements comply with the management team preferences and company policies.
• Prepare and maintain detailed travel itineraries, including meeting schedules, contact information, and relevant documents.
• Handle changes and adjustments to travel plans as needed, ensuring minimal disruption to the management team schedule.

Communication and Correspondence:
• Screen and prioritize emails, phone calls, and other communications.
• Draft, proofread, and edit documents, emails, and other communications as requested.

Administrative Support:
• Maintain confidential files and records, ensuring they are organized and easily accessible.
• Prepare meeting agendas, take minutes, and distribute them as required.
• Assist with the preparation of reports, presentations, and other documents as requested.
• Perform general office duties, such as data entry, ordering supplies, managing office equipment, and maintaining a clean and organized workspace.

Qualifications:
- Education: Bachelor’s degree in administration, Management or equivalent; additional administrative training or certification is a plus.
- 5+ years’ experience in managing complex calendars and scheduling meetings, appointments, and travel itineraries. Preferably supporting a C-Level Executive.
- Strong understanding of travel logistics, including booking flights, hotels, and ground transportation, with a preference for experience working in a travel agency environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time-management skills.
- Strong attention to detail and a proactive approach to problem-solving.
- Ability to handle confidential information with discretion.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team
