-Regular contacts require the exchange of basic factual information to suppliers, beneficiaries or other partners

Child Safeguarding:

Level (3) - the responsibilities of the post may require the post holder to have regular contact with or access to children or young people

 

ROLE PURPOSE:

The Awards Coordinator supports the Programme, Finance and Awards teams in awards management, donor compliance, overseeing grants management systems and reporting to support all Save the Children development and emergency awards. The post holder ensures programmes adhere to relevant internal grant management obligations of Save the Children Jordan and external donor / member requirements

KEY AREAS OF ACCOUNTABILITY:

Support the delivery of effective Programmes, in both development and humanitarian contexts, by:

Compliance

  • Ensure awards are managed in line with SCJ Grants and Member and donor policies.
  • Ensure awards are properly managed on JORISS for the project approval and tracking process
  • Understand key compliance issues related to different donors (line item flexibility; cost eligibility, donor reporting, source and origin, visibility etc) and ensure compliance in these areas.
  • Ensure donor regulations are communicated to program staff during Project Kick Off meetings and regularly throughout implementation.
  • Ensure that all proposals, contracts and amendments are appropriately authorized, new awards documentation is properly registered and updated, and that any issues with the award management system are addressed promptly and effectively.

 

Grants Management

  • Assist the Grants Officer in Liaising closely with the budget holders to support the analysis of monthly variance and the coordination of budget realignments requests to donors.
  • Ensure submission of financial and narrative report to members/ donors.
  • Prepare tracking analysis reports and arrange for BVAs meeting of all running awards.

 

AMS

  • Help and assist with ensuring all opportunities, proposals, contracts and amendments with donors are processed and approved through AMS and the system is an accurate reflection of current award status at all times.
  • Ensure that all adequate attachments appear on AMS and are retained as part of the award audit trail.
  • Responsible for record keeping and managing changes of all award related documentation – digital and hard copies.

  • Comply with all relevant SC policies and procedures with respect to fraud, child protection, health and safety, equal opportunities and other relevant policies and procedures.

QUALIFICATIONS AND EXPERIENCE:

  • Bachelor degree in accounting, finance or any related fields.
  • Demonstrated experience within the finance department of a national or international organization including experience with financial/ grants management – fresh graduates are welcome to apply.
  • Excellent analytical skills – the ability to analyze complex financial data and design and produce effective management information.
  • Experience of budgeting and budget management.
  • Exposure to and familiarity with key donors rules and regulations including USAID, EC, UN etc.
  • Understanding of financial systems and procedures.
  • Experience of computerized accounts packages, Excel, PowerPoint and Word.
  • Strong communication and interpersonal skills.
  • Ability to manage a complex and diverse workload and to work to tight deadlines.
  • Willingness and ability to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
  • A full appreciation of the value of co-operation, both internationally and within a team environment.
  • Written and verbal fluency in English
