JOB TITLE Software Implementation Officer

JOB SUMMARY
The Software Implementation Officer supports the successful rollout of digital health software across program sites, working under the guidance of the Implementation Lead. The role focuses on checking readiness, coordinating implementation activities, and ensuring that system setup, initial inventory, and go-live processes are completed correctly and on time.
Working closely with internal teams (technical, medical, supply chain, and M&E) and external partners, the officer supports the full implementation journey, from early readiness checks and system setup, through go-live and early system use. The role helps ensure that implementation activities carried out by different teams are complete, accurate, and practical for daily operations, while identifying and escalating any risks or issues early.
The ideal candidate has a good understanding of software implementation and quality checks, and is comfortable working in complex, low-resource, and multi-partner environments.

1. Planning, Readiness & Coordination (30%)
- Help plan and coordinate software rollout activities with facilities, warehouses, and partners.
- Confirm that sites are ready before implementation (staff, infrastructure, data, and basic setup).
- Make sure all required system setup is completed before moving to the next step.
- Coordinate timelines and tasks with different teams to keep everyone aligned.
- Follow up on progress and raise any delays or risks early.
2. System Setup & Go-Live Support (40%)
- Check that the system is set up correctly based on agreed requirements.
- Review facility setup, user access, permissions, and item lists.
- Ensure initial data is complete.
- Support go-live by checking that daily tasks work properly (receiving, dispensing, requests, reports).
- Identify issues and work with the right teams to fix them.
- Confirm the system is ready before final go-live approval.
3. Quality Checks & Issue Support (15%)
- Make sure implementation steps follow approved procedures and standards.
- Check that workflows support day-to-day operations and reporting needs.
- Record issues and support their resolution with technical or partner teams.
- Help troubleshoot problems during rollout and early system use.
- Share feedback to improve future implementations.
4. Documentation, Training & Follow-Up (15%)
- Help prepare simple implementation reports and sign-off documents.
- Support user training sessions and provide on-the-job guidance when needed.
- Monitor early system use and identify risks to proper adoption.
- Support follow-up activities to ensure the system is working well after go-live.
Other tasks as assigned by the direct supervisor.

MINIMUM REQUIREMENTS
- Bachelor’s degree in pharmacy, or any health-related field.
- Minimum of six (6) months of hands-on experience using ERP, health information systems, or supply chain management systems, preferably within healthcare, pharmaceutical, humanitarian, or NGO environments.
- Demonstrated experience supporting system rollouts/go-live activities, or digital health implementations, ideally in low-resource or field-based settings.
- Ability to accurately interpret, follow, and apply technical and operational instructions, guidelines, and Implementation procedures.
- Willingness and availability to provide on-site and/or remote Implementation support during rollout and stabilization phases.
- Willingness to travel up to 50% of the time, including travel to low-resource or hardship locations.
- Proficiency in written and spoken English.
