Responsibilities

  • Managing incoming phone calls, depending on the clients’ needs
  • Following up on different teams
  • Office management in terms of procurements and payments.
  • Review and update company database and CRM
  • Adding new projects and navigating the CRM (Podio) system
  • Edit proposals Make necessary edits for documents as required
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Follow up and Managing taxes, financial and legal commitments.
  • Filling needed company’s financial and legal documents.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system.
  • Maintain professionalism and strict confidentiality with all materials
  • Coordinate complex scheduling and calendar management.
  • Schedule zoom meetings and other type of meetings.
  • Maintain Minutes of Meetings and follow up with key participants

 

 


Work experience as an Executive Assistant, Personal Assistant or similar roleExcellent MS Office knowledgeOutstanding organizational and time management skillsFamiliarity with office gadgets and applications (e.g. e-calendars and copy machines)Excellent verbal and written communications skillsDiscretion and confidentialityHigh School degreePA diploma or certification is a plus
