Job Description

The Executive Secretary position involves providing full administrative support to senior management while also translating highly confidential documents between Arabic and English. As a bilingual executive assistant, your core responsibilities include:

 

Translating confidential correspondence, reports, presentations, and other materials from Arabic to English and vice versa with complete accuracy.

 

Managing calendars, arranging complex travel plans, scheduling meetings, and providing full administrative support for executive staff.

 

Organizing files, taking minutes at meetings, preparing documents, and assisting with projects as needed.

 

Screening calls and correspondence, routing inquiries to the appropriate staff members.

 

Providing a bridge for communications between English and Arabic speakers by facilitating phone calls, video conferences, and in-person meetings.

 

Handling highly sensitive information with complete confidentiality and discretion.

 

Providing general administrative and clerical support to aid in the efficiency of executive operations.

 

Coordinating the preparation and distribution of correspondence, reports, and documents for executive review and approval.

 

The role requires an organized, detail-oriented individual with exceptional written and verbal communication abilities in both Arabic and English. Discretion and confidentiality are essential.

 

 

 

Qualifications

The ideal candidate will have the following qualifications:

 

Excellent written and verbal communication skills in both Arabic and English. The ability to accurately translate between the two languages is essential.

 

Strong organization skills and attention to detail. The role involves managing executives' busy schedules and communicating with clients, so being highly organized is a must.

The secretary will manage a complex calendar across time zones and ensure the team is well coordinated. Correspondence with clients and team members via phone, email, and in person. As the public face of the office, professionalism and communication skills are paramount. Document management including organizing files, preparing documents, and record keeping. Strong organization and attention to detail are required. Providing general administrative support to keep the office running smoothly day-to-day. This includes booking travel, submitting expense reports, setting up meetings, and other administrative tasks as needed.
