Middle East Region

Job Profile

The Supply Chain and Operations Officer is a key operational support role, ensuring the smooth and efficient functioning of Relief International's Jordan office and project activities.

Your role will be to coordinate and manage various logistical and administrative tasks, including travel arrangements, office supplies, asset management, and procurement, ensuring compliance with RI's policies and donor regulations.

Key responsibilities

Accountability and Complexity

Staff welcoming and onboarding

  • Provide a warm and courteous welcome to Jordan Office visitors and new staff.
  • Ensure timely delivery of welcome packages and coordinate visit arrangements for Airport pick up, hotel accommodation, and assigned personal assets).
  • Airport pick up and drop off tracker with coordination with other concerned parties.
  • Work closely with IT/HR for the onboarding of new staff both national and international by ensuring that all assets are ready prior to start date.

External Coordination and Documentation:

  • Liaison: the SCO Officer works with a government department to ensure a smooth workflow for RI and the international staff, typically involves building and maintaining relationships between RI and the respective government departments, such as but not limited to MoI, MoL, MoSD, Police stations, Utility Companies, Telecommunication providers, labors, etc.
  • Manage staff Visas, work permits, and residence permits as needed, maintaining an updated tracker.
  • Act as a focal point for staff international movements and coordinate with the hubs team.
  • Maintain and update the staff movement tracker in coordination with the safety and security team.

Logistics and procurement

  • Conduct and assist the procurement requests received form teams in the office and/or camps.
  • Maintain an updated vendor list and ensure proper archiving of documents.
  • Follow up on events organization, managing logistics and event venues, transportation, etc.

Warehouse and Stock Management

  • Support in monitoring project stock levels and advice on appropriate stocking and replenishment to meet project demands.
  • Ensure warehouse and stocks are secure, well managed, and documented. Improve on and ensure the accuracy of reporting and tracking databases.
  • Oversee routine physical stock counts, document discrepancies and report losses to Country Management.
  • Ensure receipt and reconciliation are done for all stocks which have been transferred from RI to other locations.

Assets

  • Ensure that the asset register is properly maintained; and all office and program assets are logged.  For all assets, maintain the tracking system and ensure all assets are issued with a unique RI asset number, ID tag, and are tracked.
  • Ensure assets and property are effectively managed, asset list is updated regularly, and assets are disposed of according to RI and/or donor regulations. Ensure annual (or bi-annual) asset checks are completed; damage and losses are reported immediately.

Transportation & Fleet

  • Ensure management of vehicle fleets is in line with RI standards, and ensure that appropriate allocation and safe use of vehicles is achieved throughout the program
  • Ensure transportation services are cost-efficient and service provider is reliable.
  • Oversee the vehicle tracking system of Relief International.
  • Ensure drivers are appropriately trained/updated on security procedures.

Person Specification

Skills, knowledge and expertise required for the role.

Essential criteria

  • Bachelor’s degree in Supply Chain Management, Business Administration, Procurement Management or equivalent.
  • 3 - 5 years of relevant work experience in NGO supply chain department.
  • Excellent analytical, organizational, managerial and communication skills.
  • Excellent interpersonal skills; including patience, diplomacy, willingness to listen and respect for colleagues and partners.
  • Excellent time management skills and resourcefulness with strong attention to details.
  • High level of creativity and coordination.
  • Fluency in Arabic and English is required.
  • Information and computer literacy (MS Office package) and Oracle
  • IT experience is a plus.

Desirable criteria

  • Governmental liaison.
