Job Summary

The Senior Logistics Officer is overall responsible for ensuring all logistics operations are properly executed and reported in the area of operation. He/She will be responsible and accountable for executing and providing technical oversight in the field and support Logistics Manager of the management of the Warehouse, Assets, GIK, also support procurement team by performing all kind of procurement in the field, and other assigned activities in compliance with IMC, country and donor procedures, rules and regulations. Keeps close contact with the management for guidance and technical support.

Main Tasks and Responsibilities

  • Supports smooth implementation of IMC programs and operations, through participation in planning of supply chain activities as well as effective coordination of other related activities in the field. 
  • Leading and overseeing all logistics & procurement activities in the field and ensuring compliance with company policies and regulations
  • Leading and mentoring the field team technically to achieve departmental goals.
  • Following up on overall procurement demands, including the procurement plans.
  • Provide programs with all support in compliance with IMC's standard procedures. And enhance business coordination among the supply chain, program and finance departments.
  • Ensure maintaining and updating the vendor files, VRT, PTS, deviations tracking sheet.
  • Conduct market survey were required and update the records accordingly.
  • Oversee and track contracts and BPAs, informing the project manager and the head of department before they reach their end date or the NTA.
  • Managing the donations and GIKs and coordinate with program team, ensuring that all donation are approved and released according to IMC manual and donor's guidelines.
  • In collaboration with the Asset controller and sites focal points, ensures that asset/inventory list is up to date and all assets and attractive items are properly recorded, assigned to a custodian, tracked, verified, maintained and reported until the final disposal according to IMC asset manual and applicable donor regulations.
  • Coordinate with the warehouse to ensure that all required documents (GIO, Waybill and releases...) are available upon delivery and for permissions purposes
  • Supporting the WH team in the regular spot check, annual stock count and WH inspection 
  • In coordination with the supply chain co, he/she will be responsible to manage the supply chain activities and providing technical oversight, input, direction and supervision to team and assistants to ensure effective and timely support to projects implementation.
  • Oversee the sites, apartments handover, receiving and renovation of new sites in Amman and urban sites. 
  • He/She will be responsible of managing the lease agreements, and follow up with the project managers, Management and lawyer to ensure that all lease agreement are renewed or terminated on the right time and in line with local law and IMC manual.
  • Effective coordination with warehouse team and program to ensure receiving of the supplies, goods and in line with local law and IMC manual
  • Ensures that logistics and procurement files are documented, archived and accessible as per standard procedures.
  • Ensure all documentation along with its audit trail is submitted correctly to the finance department
  • Represents positively IMC government officials, community representatives, NGO Forums, partners and vendors in a positive and professional manner, and support timely data collection and submission required reports to donors.
  • Supports assessment and evaluation of risks impacting supply chain and ensures action plans are in place to mitigate, minimize or remove risks impact.
  • Identifies traiining requirements/gaps, and ensure that training plans are developed, fully implemented and refersher training provided to all logistics and supply chain staff, as required and deemed necessary.

  • Committed to fruad prevention, detection, reporting and fraud risk reduction as per IMC policies and procedures, donor regulations and local laws.

Minimum Requirements

  • Bachelor’s degree in Supply chain Management or any relevant education and experience may be substituted as appropriate
  • Typically, 5+ years of relevant and progressive experience in related field, including 3+ years of  humanitarian experience in logistics and/or procurement.
  • Proficient in computer applications, especially with MS Word & Excel
  • Excellent level of written and spoken English.
  • Strong organizational and problem-solving skills with analytic approach.
  • Ability to work within a team structure or in isolation, flexible, and can cope with stressful workloads and working with limited resources.
