ABOUT US:

Mines Advisory Group (MAG) is a global humanitarian organization operating in more than 30 countries. We are a co-recipient of the Nobel Peace Prize and our mission is to create a world free from the devastating effects of armed violence, focusing on:

  • Clearing landmines and explosive remnants of war
  • Providing explosive ordnance risk education
  • Reducing the impact of armed violence through weapons and ammunition management

MAG is has recently been awarded a new project to implement our Weapons and Ammunition work in Jordan.

ABOUT THE ROLE:

Financial Processing and Reconciliation

  • Responsible for the preparation of payment vouchers and posting of transactions in the electronic cashbooks.
  • Ensure the timely and accurate submission of cashbooks to the Headquarters each month.
  • Ensure that prepayments are correctly journaled, released and reconciled each month.
  • Maintain effective control over the cash book and bank, ensuring that cash in hand reconciles with what is registered in cashbooks. Submit cash count documents to the Headquarters each month

Payroll and Staff Finances

  • Prepare monthly payroll documents and submit to management for verification and approval.
  • Submit the Payroll cashbook to Headquarters each month.
  • Process the Salary Drawdowns for international staff, updating the HQ payroll department monthly.
  • Process staff expense claims in line with internal procedures.

Financial Planning, Budgeting and Monitoring

  • Prepare and update the monthly project expenditure reports (Budget vs. Actuals - BvAs)
  • Conduct analysis of BvA reports to identify potential budget issues
  • Support the project team in budget monitoring to ensure that field expenditures remain within approved plans and budgets.
  • Together with logistics and operational staff, prepare procurement and expenditures plans to ensure project implementation is on time and within targets and budgets.
  • Monitor cash and bank account balances to ensure sufficient cashflow for the implementation of workplans.
  • Prepare for Fund Transfer Requests each month based on forecast expenditure, in line with operational plans
  • Assist in the preparation of the programme’s quarterly reforecast exercises with Headquarters.

Audit and Compliance

  • Ensure that all supporting documentation is in place and that the correct authorisations are in place in accordance with the Delegation of Authority matrix
  • Prepare documents and samples as requested during audits and ensure they comply with all MAG and donor financial procedures for internal and external audits.
  • Ensure that all project staff are appropriately trained and familiar with financial procedures to ensure financial compliance and control.

General

  • Work within the framework of MAG’s Code of Conduct and core values.
  • Work as part of a team and liaise with other departments to ensure effective communications across the organisation.
  • Ensure confidentiality of information as required by MAG policies and procedures.Ensure familiarity with and adhere to all MAG policies and procedures
  • Undertake any other duties appropriate to the post as may be required.
  • Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise.

ABOUT YOU

  • Bachelor’s degree in Finance, Accounting, or related field.
  • At least three years’ experience in the finance field and preferable with INGO’s.
  • Experience with financial reporting, budgeting, and analysis.
  • Strong analytical and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Good organizational and time management skills; ability to thrive in fast-paced environments and manage tight deadlines.
  • Strong sense of integrity and ability to handle confidential information.
  • Excellent English Language (Spoken and written)
  • Excellent skills in accounting software and MS Excel
