Job Overview/Summary:
The Finance & Operation officer supports day-to-day finance operations and office administration for Anera’s Jordan office, ensuring accurate, compliant, and timely processing of financial transactions, robust documentation for audits, and smooth office logistics. The role upholds Anera’s policies on non-cash disbursements, safeguarding, and confidentiality, and collaborates closely with Programs, Procurement/Operations, and Global Finance & Compliance.
Key Responsibilities – Finance
- Prepare and process vendor and staff payments in accordance with Anera policies and donor requirements; ensure complete, audit-ready files (PO/contract, GRN/service acceptance, invoice, delivery/proof of service).
- Maintain accounts payable/receivable records, update ledgers, and support monthly bank and account reconciliations.
- Administer office petty cash within approved limits; maintain a daily log, conduct monthly reconciliation, and support surprise cash counts as requested. Note: no cash disbursements to partners/vendors—payments must use approved transfer/banking channels.
- Support vendor onboarding (collection of registration/tax/IBAN documents), coordinate sanctions screening with Compliance, and maintain up-to-date vendor master data in coordination with Finance/Procurement.
- Assist with bank documentation (forms, signatory updates) and respond to auditor requests, including sample retrieval and pull-lists.
- Coordinate with Programs and Procurement to verify receipt of goods/services prior to payment; flag discrepancies promptly.
- Digitize and file finance documents systematically; support the transition to electronic records where applicable.
Key Responsibilities – Administration
- Front-office support, meeting scheduling, travel/light logistics, and correspondence in line with office procedures.
- Maintain asset and inventory registers (tagging, movements, disposals) and support periodic physical verification.
- Coordinate office supplies and services (cleaning, maintenance, utilities); log requests and follow up to closure.
- Support cashless event/vendor logistics (quotations, POs, receiving, documentation) in coordination with Procurement/Operations.
- Liaise with building management/service providers and track service contracts’ renewal dates.
Safeguarding, Ethics & Confidentiality
- Uphold Anera’s Code of Conduct and safeguarding/PSEA policies; maintain strict confidentiality of financial and personnel information; report concerns through appropriate channels. Participate in required trainings.
Key Working Relationships:
· Internal: Jordan Finance, Programs, Procurement/Operations, MEAL; Global Finance & Compliance.
· External: Vendors, service providers, banks, auditors.

Qualifications
Academic Qualifications: Bachelor’s degree in Accounting, Finance, Business Administration or related field
Experience and Skills:
- 2–4 years of relevant experience in finance/accounts and office administration, preferably with an INGO or similar organization.
- Good working knowledge of Microsoft Excel is required; advanced proficiency is preferred. Experience with an ERP/accounting system is an asset.
- Fluency in Arabic and English (written and spoken).
- Excellent attention to detail, documentation discipline, and time management; ability to meet deadlines.
- Strong interpersonal communication and service orientation; ability to work collaboratively across teams.
- Commitment to safeguarding/PSEA and confidentiality.
Work Modality & Travel
Based in the Amman office with in-office days per Jordan policy; occasional field/site visits may be required.
