Course Administrator

This is to announce that Amman delegation has a vacancy for a Course Administrator at the Learning & Development Department in Amman, Jordan.

The Learning and Development Course Administrator provides all aspects of administrative, logistic, and organizational support for the LnD unit of Amman and the Regional Trainers Network on an ad hoc basis.

This includes managing the online facilitation and digital learning management for each course.

Geographic remit: Regional.

RELATIONSHIPS

  • Internally, interacts with learning and development staff and participants in learning programmes and other departments contributing to the LND services.
  • Externally, interacts with providers on administrative issues as necessary.

General Duties:

  • Be aware of the delegation’s objectives and activities.
  • Understand the three components of the Red Cross/Red Crescent Movement
  • Apply the security rules at all times.
  • Respect and observe the staff regulations of the ICRC in Jordan.
  • The employee may be asked to perform other duties not covered in this job description as well as to provide support to other departments when and if necessary.

ACCOUNTABILITIES AND RESPONSIBILITIES

  • Participates in establishing the LND yearly course planner, in coordination with the course facilitators.
  • Provides efficient and timely technical and administrative support to course participants and facilitators, managing all administrative issues related to venues and organization of courses.
  • Responsibilities include receiving and processing training applications, preparation and follow up on correspondence / course details, preparation of training materials with the trainers, and being available for on-site support during trainings if needed.
  • Co-facilitates the digital learning support platform, creates sessions, registers participants, animates the platform/forum and manages session assignments/ evaluations.
  • Maintains a coherent archiving system, maintains, retrieves and supplies information using computerized and manual-based systems for all courses.
  • Records course completions and enters training records /statistical information as per the requirements of the LND and the Information Management Unit.
  • Contributes with the delivery of some sessions/ courses (WICRC, SIP, LAT, etc.)
  • Processes invoices in accordance with financial rules and provides data breakdown.
  • When applicable, contacts external providers (consultants, etc.)

PROFESSIONAL EXPERIENCE AND EDUCATION REQUIRED

  • University or professional certification or equivalent work experience
  • Fluent command of English and Arabic; other languages an asset.
  • Excellent computer competency in managing and organising administrative functions and a variety of web-based applications.
  • 4 years of professional experience in an administrative or administrative assistant role.
  • Good knowledge of information systems, financial, administration and event organisation.
  • Excellent command of digital learning tools.
