<p><strong>POSITION DESCRIPTION</strong></p>
<p>Under the supervision of the Human Resources and Operations Manager, the incumbent is responsible for the management of the daily operations and procurement activities at the Office from the request to the delivery of supplies, works and services. S/he should align directly with the Amideast’s Procurement Policy. S/he plays a key role in procuring high-quality and cost-efficient supplies. Also, s/he ensures that the Office obtains quality products for competitive prices in a timely fashion and plays an integral role in ensuring the Office sticks to budgets and operates efficiently. The incumbent is responsible for the follow up on the building’s maintenance and the coordination with the related parties to ensure that the building is well-maintained. S/he oversees the providers for services including security, cleaning, catering, and so on. The incumbent supervises and monitors the work of the cleaning, and security staff along with the maintenance workers ensuring that basic facilities, such as water and heating, are well-maintained. The incumbent also backs up the HR and Operations Assistant, on need basis.</p>
<p><strong>RESPONSIBILITIES</strong><br>
<strong>Main Duties:</strong></p>
<p><u>Procurement:</u></p>
<ul>
<li>Records all details of contracts, purchase requisitions and purchase orders in the related database</li>
<li>Maintain and update the SOPs for procurement procedures at the Office which should always align with the Amideast’s Procurement Policy</li>
<li>Overseas inventory control and ordering of supplies</li>
<li>Coordinates between vendors and suppliers</li>
<li>Liaises with various businesses to determine the quality and cost of their products and services</li>
<li>Monitors businesses and products availability to pay the best price for the products and services required at the Office without sacrificing the quality or delivery times</li>
<li>Nurtures relationships with suppliers to negotiate the best prices for the products and services required at the Office</li>
<li>Identifies and researches potential new suppliers</li>
<li>Prepares the required procurement documents, review, and process purchase requisitions in line with Amideast's policies, procedures, and processes</li>
<li>Recommends vendors for award and develops preferred vendor lists</li>
<li>Monitors Office supply (inventory) levels, and reorder when appropriate</li>
<li>Supports the Finance team in distributing cheques</li>
<li>Enters the required data into Aramex application to deliver the required documents</li>
<li>Procures the services required for all Amideast’s events</li>
<li>Adds and/or removes a member to Careem account</li>

<li>Maintains and updates SOPs for the facility management and maintenance requests which should always align with Amideast’s Guidelines</li>

<li>Handles catering and other related services during events</li>

<li>Oversees building repairs and maintenance</li>

<li>Communicates and coordinates frequently, accurately, and responsibly with Office staff</li>
<li>Oversees the work of the cleaning and security staff and monitors their attendance</li>
<li>Schedules the daily work for the cleaners</li>
<li>Sets up daily building rounds inspections to identify potential safety and cleaning issues, as well as any required maintenance</li>

Since the beginning of the Syrian crisis in 2013, UNICEF has significantly increased its operation to respond to the challenges faced by both refugee children and those in the communities where they live.</p><p><br></p><p>Building on the lessons learned from this emergency response, UNICEF Jordan moved to a vulnerability approach in 2018 - supporting interventions that target the most vulnerable children in the country, regardless of their nationality.</p><p>Context</p><p>UNICEF Jordan Country Office (JCO) is currently in the fourth year of its Country Programme Cycle (2023–2027), a period marked by continuous efforts to support targeted interventions and mainstreaming in gender equality and adolescent girl empowerment across programming and institutional work. <h3><strong >Maxillofacial Surgical assistant (70%):</strong></h3>
<p>By assisting the maxillofacial surgeon in the provision of specialized care in the OPD, IPD and OT, assure the continuity of care for maxillofacial patients. Coordinate with other teams (nursing, medical and surgical), to ensure patients’ safety and close follow up of their evolution, with emphasis on longer length of stay (LOS) patients as per hospital criteria. Assure accurate documentation of patient’s initial surgical assessment, OPD surgical progress notes, orders and discharge (TRM), including the external services (e.g., OPG panoramic x-ray, MRI, CT scan, and prosthetic eye), and external referrals.</p>
<p><strong>OPD:</strong></p>

<li>Follow up each MF patient’s treatment plan and outcome. Explain to the patient the surgical plan, the type of operations to be done, the schedule, and collect his/her consent.</li>
<li>Leads the maxillofacial OPD clinic when the surgeon is missing.</li>
<li>Under the supervision of the of the maxillofacial surgeon, communicates with the RSH team the identified needs for MF patients on dressing, physiotherapy, mental health, and refers patient to medical specialist or other practitioners / specialty when necessary.</li>

<p><strong>OT:</strong></p>
<ul>
<li>Ensures proper preparation of patients before the surgery, verify the OT schedule and the patients order on the operating list, and keeps the register updated.</li>
<li>Verifies of special equipment and material are available before the surgery, reports on any broken or malfunctioning equipment.</li>
<li>Assists the maxillofacial surgeon on all surgeries, does, directs or supervises the dressings after surgical procedure</li>
<li>Monitors the application of hygiene protocols in OT (decontamination, sterilization, cleaning, etc).</li>
<li>Follows MSF Infection Control guidelines and participate in surgical sampling in OT in coordination with microbiology lab team.</li>

<p><strong>Ward</strong></p>
<ul>
<li>Participates in maxillofacial surgical rounds with the medical and nursing teams. Leads the maxillofacial round when the surgeon is missing.</li>
<li>Immediate post-operative evaluation and follow-up by visiting the patients on days 0,1,2,3, ensuring quality of care, and handover to the medical team</li>
<li>Answers any surgical-related issues and complaints in the ward, under surgeons’ supervision, participates, and communicates with the nursing team on the needed dressing.</li>
<li>Communicate with the physical therapy department about the physiotherapy need, under the supervision of the maxillofacial surgeon.</li>
<li>Organizes patient discharge from surgical ward to the RC/hotel with clear EMR written recommendations and instructions for OPD staff.</li>

<h3 ><strong >Specialized Dentist (30%):</strong></h3>
<ul>
<li><strong>Participation in the validation committee</strong>: In coordination with the maxillofacial surgeon and according to admission criteria, selects patients in need of dental care from the files received from Medical Liaison Officers, set the treatment plan, surgery complexity, and length of stay needed.</li>
<li><strong>OPD</strong>: runs the dental clinics for patients and caretakers, twice per week.</li>
<li><strong>Dental room and OT</strong>: perform dental procedures according to the internal policy of RSH.</li>
<li><strong>External referrals</strong>: Responsible for the accurate and close follow up of the patients and treatment plan of the external oral surgeon, including EMR documentation of the final medical report.</li>
<li><strong>Follow up meeting </strong>provides regular and clear updates on the patients referred regarding the procedure needed, technical update, needed time for the procedure, and reports any difficulties or missing sessions.</li>
<li><strong>Reporting</strong>: responsible for elaborating a monthly report summarizing the dental activities focusing on number of dental appointments, dental procedures specifying different types, number of patients referred to the external dentist, and number of active patients under the care of the external dentist.</li>

<p>The AFO supports the NFMP Project Manager in the implementation of the Swiss-funded direct action that aims at strengthening flood risk mapping and institutional capacity within Government of Jordan structures. The AFO collaborates closely with key Jordanian partner institutions, including the National Center for Security and Crisis Management (NCSCM) and the Ministry of Water and Irrigation (MWI), as well as the Swiss Cooperation Office team. The role covers project administration, financial follow ups, stakeholder coordination, and a smooth operational functioning of the project team. Org. Setting and Reporting<br>The UN Secretary-General launched on 1 January 2019 a bold and new global reform which repositioned the UN Development System to deliver more effectively and efficiently the achievement of the 2030 Agenda and the Sustainable Development Goals. As part of this reform, UN Resident Coordinator Offices (UN RCO), under the leadership of an empowered and independent UN Resident Coordinator, support countries in the achievement of their development priorities and the attainment of the SDGs. The position is located in the United Nations Resident Coordination Office (RCO) in Amman, Jordan.
