Supervisees: The incumbent of the post will supervise a team of administrative and general services staff as assigned Responsibilities Coordinates required actions, processes and steps in support of the unit s human resources, administrative management, including, staff management, personnel records, employment details and attendance records,; processing requests for employment and payment of daily paid staff; coordinates with Human Resources Office/Department on recruitment processes, including drafting job descriptions, initiating vacancy announcements, and coordinating interviews; ensures compliance with human resource policies and procedure; facilitates onboarding and separation processes for staff members Manges office operational budget and assigned project budget estimates; monitors expenditure and controls financial transactions in accordance with budgetary allocations; handles cash payments, maintains accurate records, and replenish funds as necessary; prepares financial reports and liaises with finance staff to ensure accuracy and completeness of financial records; prepares for and drafts responses to audit requests. Manages procurement activities, including tendering, quotations, and purchasing orders; maintains inventory records and ensures the provision of necessary supplies; serves as custodian for all IT equipment and furniture; coordinates maintenance and repairs; oversees logistical operations to ensure efficient functioning of the department; coordinates with property officer for survey and disposal of obsolete assets; as applicable, conducts regular inspections of the physical facilities, buildings, and storage areas across various offices/facilities, ensuring compliance with safety standards, identifying maintenance needs, and recommending corrective actions as necessary. Compiles and analyzes statistical data related to departmental activities; initiates and responds to administrative correspondence; prepares regular and periodic operational reports; organizes meetings, workshops, and other events as required. alignment across partners.</p><p><strong>Key Responsibilities</strong></p><p><strong>Program Coordination and Delivery</strong><br>• Coordinate day-to-day implementation of DG s ASAS workstreams, ensuring timelines, deliverables, dependencies, and follow-up actions are tracked and completed on time.<br>• Maintain and update work plans, schedules, trackers, status updates, and core project documentation in coordination with DG colleagues and consortium counterparts.<br>• Proactively manage risks to DG s deliverables; identify potential delays in consortium workflows that impact DG s scope, and draft mitigation strategies.<br>• Support internal planning and implementation processes by monitoring progress, identifying bottlenecks, and escalating risks, delays, or capacity issues early with proposed mitigation actions.<br>• Coordinate inputs from DG team members for weekly, monthly, quarterly, and other program reporting requirements, ensuring accuracy, completeness, and timely submission.<br>• Track action items across meetings and workstreams and follow up with responsible team members to maintain accountability and momentum.</p><p><strong>Administrative and Operational Support</strong><br>• Provide high-quality administrative support for DG s ASAS portfolio, including scheduling meetings, managing calendars, preparing agendas, drafting notes, tracking decisions, and coordinating follow-up actions.<br>• Coordinate logistics with DG and IREX colleagues as needed for online and in-person meetings, workshops, and program events, including booking venues or meeting rooms, arranging materials, and ensuring participants have the information they need.<br>• Support travel, transportation, accommodation, and related logistics for DG staff, consultants, and partners engaged in ASAS activities.<br>• Organize and maintain shared documentation, filing systems, trackers, workflows, standard operating procedures (SOPs), guidance notes, and reference materials to support operational continuity and knowledge management.<br>• Provide general coordination and administrative support as needed to ensure smooth day-to-day operations across DG s contribution to the program.</p><p><strong>Vendor and Consultant Management</strong><br>• Support procurement and vendor management processes, including requesting quotations, coordinating approved purchase orders, tracking scope, timelines, status, and costs, and maintaining accurate records.<br>• Serve as a key coordination point with vendors and external service providers, including translation providers, travel and accommodation suppliers, and other operational consultants or firms engaged by the project.<br>• Review vendor deliverables for completeness and administrative accuracy, consolidate feedback from DG and IREX colleagues, and coordinate revisions or follow-up with service providers as needed.<br>• Review invoices and supporting documentation for accuracy and completeness before submission for approval in line with DG procedures.<br>• Help identify consultant or short-term technical support needs and coordinate onboarding and engagement processes in collaboration with DG management.<br>• Communicate with the Oversight Lead to flag local financial risks, variances, or compliance bottlenecks early.</p><p><strong>Internal and Consortium Coordination</strong><br>• Coordinate closely with DG team members across Jordan and global offices to ensure effective communication, timely information sharing, and alignment on deliverables and priorities.<br>• Work across DG and IREX structures to ensure tasks, approvals, workflows, and documentation are coordinated efficiently and in line with consortium requirements.<br></p><p><strong>Desired Candidate Profile</strong></p><ul><li>Bachelor's degree in a relevant discipline such as management, education, social sciences, development studies, information management, business administration, public policy, or a related field.</li><li>3-5 years of relevant professional experience in program coordination, operations, administration, or project support, preferably in development, education, or donor-funded programs in Jordan or similar contexts.</li><li>Demonstrated experience coordinating multiple workstreams in parallel in a fast-paced, multi-stakeholder environment.</li><li>Demonstrated experience managing vendors, consultants, procurement processes, invoices, and operational logistics.</li><li>Experience producing bilingual project documentation, presentations, and coordination materials.</li><li>Experience coordinating across internal teams and external partners, including remote colleagues and in-country stakeholders.</li><li>Professional fluency in English and Arabic, both written and spoken.</li><li>Strong writing, documentation, and presentation skills, with an emphasis on clarity, accuracy, and accessibility.</li><li>Strong organizational, coordination, and time-management skills, with proven ability to track deadlines, follow up consistently, and maintain attention to detail.</li><li>Strong interpersonal, relationship management, and diplomacy skills, with the ability to work effectively across diverse technical and non-technical teams.</li><li>Ability to work independently while remaining highly collaborative and responsive to management direction and team needs.</li><li>Experience working within consortium-based programs or projects involving multiple implementing partners.</li><li>Experience navigating multi-partner compliance requirements (e.g., USAID, IREX, or similar international donors).</li><li>Experience supporting education, digital development, data, or technology-focused programming in Jordan.</li><li>Familiarity with developments in the field of Artificial Intelligence (AI) and its application in the education sector.</li><li>Familiarity with Jordanian institutional stakeholders, including ministries, universities, or education-sector actors.</li></ul>
