ROLE PURPOSE:

To deliver timely, effective and accountable Supply Chain support to Save the Children programmes Your support in the delivery of an effective Supply Chain function will play a key role in Save the Children programmes to increase impact and enable positive change for children.

 

SCOPE OF ROLE:

Reports to : Procurement and administration Team Leader

Staff directly reporting to this post: N/A

 

KEY AREAS OF Responsibility:

  • Supporting Supply Chain Team: Assist the Supply Chain Team in the delivery of in-country supply activities, including relief distributions, and the maintenance and management of office equipment as part of the national supply chain team.
  • Efficient Procurement: Ensure that program purchases are made in a timely and transparent manner, following Save the Children procurement policies and procedures to optimize quality and cost.
  • Stock Management: Implement effective stock management and administration systems, continuously monitor stock levels, and provide advice on stocking and replenishment to meet project demands.
  • Training and Development: Support and participate in the effective training of national staff responsible for the maintenance and efficient operation of procurement, communications, transport, security, and office infrastructure.
  • Reporting and Documentation: Prepare a comprehensive monthly 'supply chain report' for the Supply Chain Manager, covering procurement, stock reporting, asset register updates, staff matters, and other pertinent information.
  • Purchase Order Optimization: Prepare purchase orders based on the best quality and cost from suppliers.
  • Documentation Maintenance: Maintain accurate and comprehensive documentation of all procurement activities.
  • Flexible Crisis Response: Be prepared to adapt work practices and hours, collaborating with incoming surge teams during crises or emergencies.
  • Proposal Support: Assist the Supply Chain Team in the proposal process by coordinating and helping identify technical logistics requirements.
  • Stakeholder Engagement: Represent the principles and work of Save the Children to donors, United Nations, NGOs, INGOs, government entities, media, and other stakeholders as required.
  • Policy Adherence: Ensure compliance with and promotion of all Save the Children Global policies, including Child Safeguarding, Whistleblowing, Fraud Prevention, and Health and Safety standards.
  • Stock and Asset Reconciliation: Support the Supply Chain Team in the physical and reconciliation of stock and fixed assets on a quarterly and annual basis.

QUALIFICATIONS AND EXPERIENCE

Essential:

  • Two to three years of experience.
  • University degree in a relevant discipline.
  • Demonstrated experience of supply chain support, including procurement, warehousing and stock control, goods distribution, and transportation and vehicle fleet management in large international non-governmental organisation or other international relief/development body;
  • Ability to support the development of personal security and evacuation procedures;
  • Excellent planning, coordination, and reporting skills, with the ability to organise a substantial workload comprised of complex, diverse tasks and responsibilities;
  • Strong communication, people management and interpersonal skills in English, with experience in leading multicultural, multi-location, values driven teams;
  • Willingness to work and travel in often difficult and insecure environments;
  • Commitment to Save the Children global policies and values.
