BACKGROUND
The Jordan Economic Reform Activity (ERA) Task Order 1 is a 5-year, $54 million program funded by USAID, which aims to support the Government of Jordan (GOJ) to prioritize and implement economic reforms. Through coordination with the GOJ, the Jordanian and international private sector, other donors, and Jordanian civil society, ERA TO 1 will (1) advance economic reforms, (2) strengthen the business enabling environment, (3) increase exports and local, regional, and international investments, and (4) respond to emerging priorities.
POSITION DESCRIPTION
The Operations Coordinator will assist in day-to-day coordination and management of operational activities:
DETAILED RESPONSIBILITIES
- Assist with the international and domestic travel arrangements, clearances, and hotel bookings for all local staff and short-term consultants travelling to the field.
- Supervise the coordination, organization and managing the project driver’s daily schedule and ensure that the mileage logs are reviewed and saved in the appropriate folder.
- Manage the IT support requests and coordinate with the IT focal point
- Support the Human Resources and Operations Manager in the coordination of meetings, and events.
- Lead on office supplies and stationary tracking communicate and coordinate with the Procurement team on the purchase of office supplies, equipment and stationery and maintain proper stock levels.
- Lead on the inventory tracking and management of all project property including IT equipments.
- Provide effective management of the office in terms of tracking and payment of bills, internet, and rent.
- Provide administrative support and ensures the smooth and efficient operation of the office.
- Comply with all Jordan ERA TO1 Project Policies and Procedures as noted in the Policies and Procedures Manual.
- Maintain accurate timesheet records and ensure all timesheets are submitted on time with the appropriate approval for both Chemonics and the Subcontractors staff
- Tracking and initiation of Chemonics STTA’s payments and updating records on Airtable
- Managing the cleaner staff and make sure that the office cleaning level is up to the proper hygiene standard.
- Oversee tracking of operations-related activities and maintain appropriate filing for the operations documents.
- Other duties as assigned.
MINIMUM QUALIFICATIONS
- A Bachelor’s Degree in business administration, or related field.
- Minimum of four (4) years of relevant working experience as an office assistant or other operational role.
- Flexible with creative personality, ability to maintain a rapid and demanding pace of work.
- A positive problem-solving approach.
- Experience of working on USAID-funded projects is a must.
- Excellent skills of operating Microsoft word and excel spreadsheet.
- Good communication skills, fluency in Arabic and English is required.
LOCATION OF ASSIGNMENT
The Operations Coordinator will be based in the project’s office in Amman, Jordan.
