Liaison and Reporting Officer (Weapons and Ammunition Management Project)

Mines Advisory Group (MAG) is a global humanitarian organization operating in more than 30 countries. We are a co-recipient of the Nobel Peace Prize and our mission is to create a world free from the devastating effects of armed violence, focusing on:
- Clearing landmines and explosive remnants of war
- Providing explosive ordnance risk education
- Reducing the impact of armed violence through weapons and ammunition management
MAG is has recently been awarded a new project to implement our Weapons and Ammunition work in Jordan.
ABOUT THE ROLE
As the Liaison and Reporting Officer, you will be the primary focal point to develop and maintain effective relationships with project partners and stakeholders, principally the Jordanian Armed Forces. Working closely with the project partners you will also monitor project delivery and implementation, report progress and identify risks and obstacles in achieving project outcomes. Key responsibilities include,
Liaison, Coordination and Representation
- Work with key stakeholder to build and maintain effective working relationships.
- Liaise and schedule meetings with stakeholders and project partners.
- Understand all stakeholder organizational structures and operate within their boundaries.
- Ensure relevant and transparent communications on all program issues.
- Ensure the integrity of MAG’s organizational profile in all external communications (written and verbal).
- Translation of formal communications between the project and partners (Arabic to English and vice versa)
- Coordinate security clearances for project staff.
- Coordinate beneficiary vetting procedures according to donor requirements.
Project Planning and Monitoring
- Assist the Technical Field Manager Technical Lead (TFM-TL) to develop operational plans and prioritization of tasks.
- Monitor the implementation of project activities by Partner Organizations according to the approved work plans.
- Highlight and address to TFM-TL problems that partner organizations encounter during partner collaboration and cooperation.
Training
- Contribute to the development and implementation of WAM training modules.
- Assist the TFM-TL in identifying partners' training needs and contribute to the development and implementation of WAM training plans.
- Assist in training and inductions of new project staff, as required.
Information Management
- Ensure collection of the required data.
- Provide data to the Information Management Unit in the appropriate formats.
- Undertake data entry, analysis, and reporting as required.
Reporting
- Submit weekly activity plans and reports to the TFM-TL and other persons as required.
- Maintain clear and efficient communication with the TFM and other team members as necessary, ensuring effective reporting when needed.
General
- Work within the framework of MAG’s Code of Conduct and core values
- Work as part of a team and liaise with other departments to ensure effective communications across the organisation.
- Ensure confidentiality of information as required by MAG policies and procedures.
- Ensure familiarity with and adhere to all MAG policies and procedures.
- Undertake any other duties appropriate to the post as may be required.
- Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise.
ABOUT YOU
Essential Experience
- Fluent English and Arabic language skills required.
- Knowledge and competency using Microsoft Office 365 applications, including MS Teams, MS Excel, MS Word etc.
- Excellent organizational skills with the ability to coordinate activities in a fast-paced environment.
- Familiarity and understanding of Jordan Armed Forces structures and organization.
- Excellent communication, interpersonal and team building skills.
- Ability to work effectively in a multicultural environment.
- Relevant university qualification.
Desirable Experience
- Ability to learn and understand the technical principles of Weapons and Ammunition Management (WAM) and Physical Security and Stockpile Management (PSSM).
- Apply PSSM to local partner needs as directed by the TFM-TL by assisting in developing concept notes.
- Basic knowledge of International Ammunition Technical Guidelines (IATGs).
