Liaison Officer – Part time
CONTEXT
Médecins Sans Frontières is a private, non-profit international humanitarian organization dedicated to providing medical assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation. Médecins Sans Frontières is seeking a Liaison Officer for its Protocol Office in Amman.
SCOPE OF RESPONSIBILITIES
• As per the Head of Protocol Office guidance, ensure that all MSF staff and their dependents have applied and obtained on time visa, residency, travel or working permits in the country according to needs, and keep information on legal, administrative procedures.
• Initiate and follow-up the procedures before local authorities that MSF need in order to import goods from any country, and assist the MSF in following these procedures, in cooperation with the HoPO.
• Follow up clearance of MSF cargos, keep the PO and MSFinformed about any possible planned or extraordinary needs.
• Prepare, draft, and review correspondences, letters, requests, and applications for local authorities and stakeholders.
• Establish and maintain professional contacts with relevant authorities, depending on the context and the needs of the PO and the MSF.
• Ensure, together with the HoPO and the relevant MSF section that all MSF activities are running lawfully and in full compliance with the Host Country Agreement (HCA) in all administrative or customs related issues, and keep the HoPO informed about any possible risks or problems.
• Identify key/ new trends or changes of semi/ governmental/ administrative procedures and share with the HoPO.
• Ensure that no illegal money is paid to any authorities or any individual, promoting and sharing MSF principles and values at all levels.
• Keep all documentation and files updated, properly filed and easily accessible for the internal users.
• Update the PO archives, ensure all documents are properly scanned and filed.
Context Specific Accountabilities:
• Initiate and follow up on the working/travel (visas)/residence permits, clearances and exemptions applications before the relevant local authorities
• Authenticate requests, correspondences, letters, permits, and licenses from relevant local authorities.
• Accompany the PO team, and expatriates from MFS team as advised by the HoPO. Submit and follow-up on applications before local authorities, and embassies, and collect the mail on daily basis or as advised by the HoPO.
• Carry out daily routines at respective Ministries and public authorities (MoI, MoL, MoFA, MoSD, police stations, municipalities, embassies, etc).
• Perform other duties as required by the HoPO.
PROFILE
Education University degree . Administration or communication related studies desirable.
Experience
• Essential previous experience (as Liaison Officer) of at least two years in related relevant positions, in MSF or other NGOs.
• Valid driver’s license with a safe driving record.
• Knowledge of driving rules and regulations, chauffeur protocol and courtesies, and local roads and conditions.
• Skills in minor vehicle repairs.
Languages Arabic – English

WORK LOCATION: Amman, Shmeisani – Jordan
Work time : 9:00 Am – 1:00 PM
CONTRACT: 3 months – Part-time 50% renewable according to needs.
