<p>An assistant chief steward trains, supports, and motivates the back of house team to deliver an excellent guest and member experience while managing cleaning schedules, moving and storing necessary equipment, and observing safety guidelines.</p>
<p>As an assistant chief steward, you are responsible for training, supporting, and motivating the back of house team to deliver an excellent guest and member experience. A chief steward will also be required to manage cleaning schedules, observe COSHH and Hilton Hotel Health and Safety Manual guidelines, and ensure that machinery is operated properly, efficiently, and is moved, stored, and available when needed.</p>
<p>Specifically, you will be responsible for performing the following tasks to the highest standards:</p>

<p>The Project Assistant supports the day-to-day implementation of JRS Jordan programme activities under the direct supervision of the Project Coordinator. <p>Under the supervision of the Human Resources and Operations Manager, the Procurement and Operations Assistant is responsible for managing the office's daily procurement and operational activities, ensuring the timely acquisition and delivery of goods, services, and works in full compliance with Amideast's Procurement Policy and internal procedures. The incumbent plays a key role in procuring high-quality, cost-effective goods and services while ensuring value for money, timely delivery, and adherence to approved budgets. The position is also responsible for coordinating facility maintenance activities and liaising with internal and external stakeholders to ensure that the office premises are safe, functional, and well maintained. In addition, the incumbent oversees outsourced service providers, including cleaning, security, maintenance, and catering, monitors service quality and staff performance, and supports the efficient operation of the office. At the heart of the Operations Department of the Operational Center of Geneva (OCG), the "cells" are multidisciplinary teams of 7 to 8 experts (Program Manager, Deputy Program Manager, Polyvalent Medical Referent, Operational HR Partner, Operational Logistics Manager, Operational Finance Manager, Operational Communication Manager, Cell Assistant). The cells supervise and coordinate MSF's activities in several countries and are the direct interface between the headquarters and the field. Focal point for specific HR dossiers, under the supervision of the HROP:<br>
• Acts as a focal point for mobility program in Cell 5 missions; works with Amman Mobility Coordinators towards boosting interCell and international mobility of Cell 5 missions’ staff. Initiate and streamlines the communication between HRCOs, PDMs and Mobility Coordinator on mobility needs and concrete LHS detachment matchings from/to Cell 5 missions.<br>
• Acts as a focal point for any topics related to Compensations & Benefits (e.g. IRFFG, IMS benefits, …) with special focus on Rewards Review (information management, streamlining communication between missions and HQ, …). Support HROP on Benchmark topic (BM requests, hosting sections, follow us with the missions on timely submission of the requested information and documents, ….) and revision of IMS perdiem in Cell 5 missions. Solicits and coordinates the intervention of Comp&Ben referents.<br>
HR and administrative management of international mobile staff (IMS):<br>
• Under the supervision of HROP, acts as a focal point for any topics related to IRPII, including IMS exceptions; manages IRPII exception requests with the missions and HR Direction.<br>
• With collaboration from HRCos keep updating the IMS HR update file.<br>
• Monthly, as part of the IMS salary payment, checks the changes of the start and end dates of IMS contracts, positions and project allocations and confirm the monthly IMS payroll information to FAR.<br>
• Provide support to Field Movement Referents (FMRs) in the case of specific movements or visas.<br>
• Carries out/participate in HR briefings and debriefings according to the policy and ensures the SHU is alerted when needed.<br>
• Follows up with international staff on documents required for their departure (informed consents BIC, proof of life)<br>
• Consolidates, monitors and updates pre-departure briefing materials for international staff<br>

<p>The UN Secretary-General launched on 1 January 2019 a bold and new global reform which repositioned the UN Development System to deliver more effectively and efficiently the achievement of the 2030 Agenda and the Sustainable Development Goals. As part of this reform, UN Resident Coordinator Offices (UN RCO), under the leadership of an empowered and independent UN Resident Coordinator, support countries in the achievement of their development priorities and the attainment of the SDGs. The position is located in the United Nations Resident Coordination Office (RCO) in Amman, Jordan. Under the direct supervision of the Head of Office and guidance of the RC and in full confidentiality, the Executive Assistant ensures effective and efficient functioning of the RC Front-Office, overall management of the RC's schedule and logistical requirements, maintenance of protocol procedures, management of information flow, and follow-up on deadlines and commitments made. Responsibilities Within delegated authority, the Executive Assistant will be responsible for the following duties:</p><p>1. ENSURE EFFECTIVE AND EFFICIENT FUNCTIONING OF THE RC FRONT OFFICE:</p><ul><li>Maintain the Resident Coordinator s calendar and representation schedule, arrange appointments and meetings of the RC, coordinates logistical and protocol arrangements for official functions, liaises with diplomatic missions, government counterparts and UN entities; ensure compliance with UN and host country protocol requirements, and act as an interpreter and/or take minutes of meetings when required.</li><li>Coordinate high-quality briefing materials for the RC for appointments, meetings, events, and missions and ensure that all correspondence and documents submitted to the RC are according to UN norms and standards, including directives.</li><li>Coordinate comments on behalf of RC for signature and action/follow-up when required.</li><li>Draft key correspondence, including notes to files, minutes of meetings and Note Verbales, and provide translation for official correspondence.</li><li>Manage RC travel and missions, prepare travel requests, ensure flight bookings and provision of logistics information, and follow up on trip reports and travel claims.</li><li>Maintain contact lists of high-level partners, UN Agencies, and Diplomatic Corps.</li><li>Assist in organizing official events: travel (booking flights, request for security clearance, arrangements at airport, etc.) for local and high-level visitors as required.</li><li>In collaboration with the RCO team, prepare and maintain checklists and templates for relevant processes (high-level visits, meetings preparation, etc).</li><li>Provide all similar services and support to RC.</li></ul><p>2. PROVIDE ADMINISTRATIVE AND COMMUNICATIONS SUPPORT TO THE OFFICE:</p><ul><li>Maintain the filing system (in Microsoft Teams/SharePoint), ensuring the safekeeping of confidential materials.</li><li>Use of automated filing system.</li><li>Screen RC incoming calls and correspondence.</li><li>Support the organization and communication of various coordination meetings, including UNCT meetings.</li><li>Participate in the organization of official UN Days, public events, joint UN events and provide secretariat and administrative support to the UNCT.</li><li>Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to RC.</li><li>Support the Head of Office on engagement with external partners, preparation of and follow-up on events/high-level missions/official engagements and management of administrative processes.</li><li>Assists with visualizations and updating information material such as web pages or brochures.</li></ul><p>3.
