<p>assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation. Médecins Sans Frontières is seeking to hire a Base and Facility Officer for its office in Amman.</p>
<p><strong>SCOPE OF RESPONSIBILITIES</strong></p>
<p>Carrying out or supervising all maintenance logistics activities in the base (vehicles, fuel consumption, and local infrastructure) according to MSF standards and protocols in order to have the material, infrastructure and vehicles in optimal running conditions</p>
<p><strong>Accountabilities:</strong></p>
<ul>
<li>Planning vehicles movements, tracking individual trips, and ensuring implementation of security measures</li>
<li>Tracking consumption of supplies, fuel, lubricants, used in different facilities (office, house, store, etc.).</li>
<li>Checking the maintenance of the various open spaces (gardens, courtyards...) and ensuring that domestic waste is correctly discarded</li>
<li>Checking and ensuring the maintenance of MSF premises and facilities, as well as the general water supply, electrical, walls, ceilings ect. and security conditions. In this sense, making inspection visits to assess the rehabilitation needs of facilities.</li>
<li>Performing maintenance of logistics equipment for cold chain, energy, IT and radio communications, in particular:
<ul>
<li>Inventories and the reallocation of equipment.</li>
<li>Renewing the authorization to use radio material with local authorities.</li>
<li>Checking the quality of the work carried out on generators and electrical installations.</li>
</ul>
</li>
<li>Preparing orders for his sector activity, do the follow-up, and checking their proper reception and state.</li>
<li>Carrying out local purchases and ensuring that the line manager is aware of any problems linked to the quality or availability of the items to be purchased.</li>
<li>Participating in training at the request of the line manager. </li>
</ul>
<p><strong>MSF Section/Context Specific Accountabilities</strong></p>
<ul>
<li>Ensure effective management and maintenance of the Gaza Transit Project premises as needed in terms of logistic and supply needs</li>
<li>Maintain a safe and secure environment for the Gaza Transit Project premises, tenants, and visitors by ensuring the effeictive safety and security measures in place</li>
<li>Oversee and support the Security Officers responsible for the Gaza Transit Project premises, ensuring the effective implementation of security procedures and timely resolution of security-related issues</li>
<li>Support and advise tenants on best practices in premises management, enabling effective maintenance and sustainable use of their rented apartments</li>
<li>Coordinate with the Social Worker Team and the Country Office Logistics Supervisor as required</li>
<li>Contribute to the management of non-Gaza Transit Project premises and undertake additional logistics-related tasks and assignments as directed by the Country Office Logistics Supervisor</li>
<li>Assist in the management and oversight of the new hotel designated for RSH patients and caregivers, providing operational and facility support as required by the RSH Hospital Facility Manager</li>
<li>Ensure that all logistics and administrative needs of the Gaza Transit Project are identified, coordinated, and addressed in a timely and effective manner to support uninterrupted operations</li>
<li>Ensure effective logistics and administrative reporting and budget follow-up for the Gaza Transit Project, providing regular updates and documentation to support operational oversight and decision-making.</li>

Org. Setting and Reporting<br>The UN Secretary-General launched on 1 January 2019 a bold and new global reform which repositioned the UN Development System to deliver more effectively and efficiently the achievement of the 2030 Agenda and the Sustainable Development Goals. As part of this reform, UN Resident Coordinator Offices (UN RCO), under the leadership of an empowered and independent UN Resident Coordinator, support countries in the achievement of their development priorities and the attainment of the SDGs. The position is located in the United Nations Resident Coordination Office (RCO) in Amman, Jordan. Under the direct supervision of the Head of Office and guidance of the RC and in full confidentiality, the Executive Assistant ensures effective and efficient functioning of the RC Front-Office, overall management of the RC's schedule and logistical requirements, maintenance of protocol procedures, management of information flow, and follow-up on deadlines and commitments made.<br> Responsibilities<br>Within delegated authority, the Executive Assistant will be responsible for the following duties: 1. ENSURE EFFECTIVE AND EFFICIENT FUNCTIONING OF THE RC FRONT OFFICE: • Maintain the Resident Coordinator’s calendar and representation schedule, arrange appointments and meetings of the RC, coordinates logistical and protocol arrangements for official functions, liaises with diplomatic missions, government counterparts and UN entities; ensure compliance with UN and host country protocol requirements, and act as an interpreter and/or take minutes of meetings when required. • Coordinate high-quality briefing materials for the RC for appointments, meetings, events, and missions and ensure that all correspondence and documents submitted to the RC are according to UN norms and standards, including directives. Coordinate comments on behalf of RC for signature and action/follow-up when required. • Draft key correspondence, including notes to files, minutes of meetings and Note Verbales, and provide translation for official correspondence. • Manage RC travel and missions, prepare travel requests, ensure flight bookings and provision of logistics information, and follow up on trip reports and travel claims. • Maintain contact lists of high-level partners, UN Agencies, and Diplomatic Corps. • Assist in organizing official events: travel (booking flights, request for security clearance, arrangements at airport, etc.) for local and high-level visitors as required. • In collaboration with the RCO team, prepare and maintain checklists and templates for relevant processes (high-level visits, meetings preparation, etc). • Provide all similar services and support to RC. 2. PROVIDE ADMINISTRATIVE AND COMMUNICATIONS SUPPORT TO THE OFFICE: • Maintain the filing system (in Microsoft Teams/SharePoint), ensuring the safekeeping of confidential materials. Use of automated filing system. • Screen RC incoming calls and correspondence. • Support the organization and communication of various coordination meetings, including UNCT meetings. • Participate in the organization of official UN Days, public events, joint UN events and provide secretariat and administrative support to the UNCT. • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to RC. • Support the Head of Office on engagement with external partners, preparation of and follow-up on events/high-level missions/official engagements and management of administrative processes. • Assists with visualizations and updating information material such as web pages or brochures. 3. The program operates across accommodation sites and partner hospitals in Amman, coordinating closely with the Jordan Hashemite Charity Organization (JHCO), partner medical facilities, and other service providers to ensure patients receive dignified, timely, and well-coordinated care across medical, psychosocial, and basic support components.</p><p>To strengthen the program's clinical coordination and case management capacity, Anera Jordan is seeking a consultant to serve as Medical Coordinator on a part-time basis for a period of six months.</p><p><br></p><p><b>Objective of the Consultancy</b></p><p>The objective of this consultancy is to provide specialized medical coordination and case management support to the Gaza Support Program, ensuring that all active patient cases are accurately tracked, clinically coordinated, and managed throughout their treatment journey in Jordan.
