JOB SUMMARY

The logistics-liaison Assistant will provide essential logistical and operational support to ensure the smooth coordination between International Medical Corps and external stakeholders, such as suppliers, partners, government agencies, and other key actors. This role supports the timely and efficient delivery of goods and services per the organization's objectives.

Job responsibilities

  1. Liaison and Coordination
    • Act as a liaison between International Medical Corps and local authorities, suppliers, and partners to facilitate permits, clearances, and other logistics-related matters.
    • Maintain and develop relationships with local stakeholders to support smooth logistics operations.
    • Support field teams in obtaining necessary approvals for the movement of supplies and personnel.
  2. Logistics Support
    • Assist in the planning, coordination, and monitoring of the movement of goods, equipment, and personnel in accordance with operational needs.
    • Ensure the timely collection, transportation, and delivery of goods, including maintaining accurate records of shipments and inventory.
    • Support warehousing operations, including receiving, storing, and dispatching goods.
  3. Documentation and Reporting
    • Assist in preparing and maintaining logistics documentation such as shipment records, customs clearance documents, and purchase orders.
    • Ensure proper filing and organization of all relevant logistics documents.
    • Support the preparation of regular logistics reports, including inventory status, shipment updates, and stock movements.
  4. Procurement Support
    • Assist with procurement activities, including supplier identification, gathering quotes, and processing purchase requests in accordance with International Medical Corps’ procurement policies.
    • Follow up with suppliers to ensure timely delivery of goods and services.
    • Assist in monitoring contract compliance by suppliers and service providers.
  5. Compliance and Accountability
    • Ensure all logistics operations comply with International Medical Corps' policies and donor requirements, including procurement, warehousing, and transportation processes.
    • Assist in conducting compliance checks and physical inventory counts, ensuring that records accurately reflect the movement and status of goods.
  6. Other Responsibilities
    • Provide support in emergency response situations, coordinating logistics needs in collaboration with the emergency response team.
    • Assist in fleet management activities, including vehicle movement planning and monitoring fuel usage.
    • Perform any other duties as assigned by the Logistics Manager or other supervisors.

 

MINIMUM REQUIREMENTS

  • Bachelor’s degree in logistics, supply chain management, business administration, or a related field.
  • 1-2 years of experience in logistics, supply chain, or a related field, preferably in a humanitarian or development context.
  • Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks.
  • Knowledge of local government procedures and regulations related to logistics, customs, and procurement (desirable).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong interpersonal and communication skills, with fluency in both written and spoken English (additional languages are a plus).
  • Willingness to travel to field sites when needed.
