Objective of the job
Under the direct supervision of the HR Manager, the Human Resources (HR) Assistant takes care of the execution of human resources day to day operations of Syria and Jordan Country Programme office. The assistant acts as a focal person providing key support on all HR functions. The HR Assistant will assist in the human resources activities including personnel files, staff benefits and insurance, and background checks.
Position in the organization
The HR Assistant reports to HR Manager and collaborates regularly with operation and program teams, also provides functional support to volunteer(s) and/or service providers.
In addition to the result areas below, the HR Assistant remains flexible to take on different assignments in support of the overall country office HR operations
In collaboration and support from the HR Manager, the HR Assistant will proceed the following
- Implement personnel administration and HR policy.
- Takes care of processing changes in the workforce and managing personnel files and ensures personnel administration is in order and up-to-date.
- Correctly apply laws and regulations and HR policy.
- Takes care of carrying out administrative and organizational work for several HR tasks related to contracts’ management for volunteers and individual service providers
- Takes care of the management of the various HR systems and fulfills the role of professional.
- Takes care of providing the correct data for the annual audit and annual report.
- Support on managing of staff exit process documentation
- Providing information and maintaining contacts
- Acts as a point of contact for personnel with the various HR systems and ensures the correct functioning of the systems.
- Answer questions from managers and employees on all kinds of personnel matters such as employment regulation, performance and recruitment, etc.
- Takes care of the management of the various HR systems. Fulfills the professional role for the various HR systems towards managers and employees.
- Acts as a point of contact for relevant internal and external relations.
- Acts as a point of contact for all HR related for partners and CBOs, and ensure a proper documentation for all HR functions
- Administrative Support
- Assist with day-to-day HR operations, including managing schedules, coordinating meetings, and responding to general inquiries.
- Help prepare and distribute HR documents, including contracts, letters, and other formal communications.
- Maintain and organize employee records, ensuring that all personnel files are up-to-date, accurate, and comply with the organization’s policies and legal standards.
- Manage digital and physical filing systems, ensuring secure and confidential handling of employee information.
- Conduct preliminary and thorough screenings of suppliers, contractors, and other third parties to assess alignment with the organization’s standards and regulatory requirements as well as Verify the background and qualifications of individuals and businesses, ensuring they meet compliance, legal, and risk standard (Vetting)
Knowledge and Experience:
- University degree in a relevant field.
- 1 to 3 years’ experience working in a related field.
- Previous experience working on administrative tasks.
- Oral and written expression skills in both Arabic and English.

Contract
