IM Tools & Services
- Engage with departments at Coordination to develop and encourage the usage of IM tools or practices in support/program data and/or workflows. These can include any efficient/advanced excel file, GIS maps, PBI Dashboards, automated flows, or more advanced IM tools (Power App, Software, SQL Database…).
- In close collaboration with heads of departments, design IM tools/services that can improve the workflows or outputs of coordination departments, in terms of data quality, time/cost-efficiency, sharing and communication.
- Design, produce, test, and deploy IM tools/services as needed by departments at Coordination level.
- Coordinate with IM focal points on the field across the mission to ensure proper standardization of both support and program IM tools/services across bases and across the mission.
- Coordinate with HQ whenever necessary to inform about a particular innovation that could benefit SI at organizational level.
- Ensure proper ownership of each IM tool/service. Produce adapted tutorial and documentation when necessary to improve the sustainability and scalability of the tool.
- Provide technical/strategic support to IM teams working on the field.
- Improve/update existing tools/services when possible and necessary.
Training & Capacity Building
- Identify technical training needs in collaboration with support and MEAL departments at coordination.
- In collaboration with HR department, design capacity building plans related to IM needs.
- Create training material and conduct training on IM topics (Excel, MS365, Power BI, GIS Mapping, Data Protection & Security).
- Ensure minimal data security/protection standards are respected at Coordination level, promote data protection “awareness” in the office and on bases during field visits.
- In collaboration with the IM Coordinator, produce SOPs on IM standards and good practices on the mission.
Reporting & Communication
- Ensure program reporting cycle at Coordination level is well defined and is running as expected. Ensure the needed link related to reporting with IM teams on the field bases.
- Perform technical tasks as needed for Reporting cycle.
- Identify areas of improvement for the reporting cycle, in collaboration with Program teams, and MEAL and Grants departments.
- Lead on the internal reporting of the mission, produce and share the monthly Mission Situation Report.
- When required, represent IM during coordination meetings
Strategic orientation
- Support the IM Coordinator in the development of the yearly information management strategy in accordance with SI’s policies and country priorities.
- Go on frequent field visits to understand IM challenges and opportunities on the field and incorporate them as part of a yearly plan.

MISSION
Under the supervision of the Information Management (IM) Coordinator, the Deputy IM Coordinator is responsible for:
- Providing departments at coordination level with adapted and efficient IM tools & services
- Leading on the standardization of IM tools across bases and at coordination.
- Supporting technically IM teams on the field and at coordination
- Ensuring proper communication on IM topics between field bases, and between Coordination and the field.
- Providing trainings and capacity buildings at mission level as needed
- Leading on data-heavy process at coordination such as reporting cycle and situation reports.
- Supporting IM Coordinator on defining and deploying a global IM strategy
- He/She replaces the IM Coordinator during their absence.
