The GIZ Jordan Project " Building for Prevention II” is seeking to hire a “Financial Management and Administration Advisor” for full-time based employment.
The Advisor for the project “Building for Prevention II” is responsible for ensuring effective coordination and smooth implementation of project activities, facilitating good communication and information flow within the project team, with external partners (mainly the Public Security Directorate), and with the GIZ Office. As part of the operational project team, the Advisor serves as an interface with the service unit to oversee and steer procurement and contract management processes in line with GIZ regulations. The Advisor ensures smooth implementation in line with the project workplan and its milestones. Furthermore, the Advisor oversees the proper filing of project documents in reference files and in DMS according to GIZ’s filing rules, and assists the Principal Advisor in planning, monitoring, and reporting tasks. In addition, the coordinator carries out any other tasks relevant to the scope of the project as requested by the superior.
Qualifications and Specialist Knowledge
Qualifications
- University degree in a relevant field (e.g. Business, Administration, Management, Translation, Languages, or any related discipline).
Professional experience
- Minimum of 5 years of professional experience in Jordan with development projects funded by international donors.
Other knowledge and competences
- Good working knowledge of ICT technologies (software, email, internet, etc.) and computer applications (e.g. MS Office).
- Fluent in written and spoken English and Arabic (mandatory).
- Knowledge of German is considered an asset.
- Excellent office administration and organizational skills, with strong self-drive.
- High standards of confidentiality and reliability.
- Ability to work accurately, consistently, and under pressure.
- Proficient use of modern telecommunication systems.
- Customer- and service-oriented attitude.
- Holder of a valid driving license.
- Proven experience in procurement procedures within development projects funded by international donors; knowledge of GIZ procurement procedures is considered an asset.
- Experience working with Jordanian government agencies is considered an asset
- Proven experience in infrastructure projects is considered an asset
Main Responsibilities
- Overall coordination of the project
- Supports the Project Manager in coordinating daily operations and ensuring smooth communication with the team, GIZ Office, and external partners.
- Oversees the grant and the grant management activities, anticipates bottlenecks, and proposes practical solutions.
- Monitoring of the construction component, including regular visits to the construction site (in line with grant agreement).
- Manages schedules, workplans, correspondence, and documentation, and organizes meetings, events, and missions, ensuring proper follow-up.
- Monitoring of progress and milestones against the project’s workplan.
- Managing procurement processes
- Plans and monitors the project’s procurement needs in line with GIZ rules and the agreed workplan.
- Works closely with the GIZ Office’s service unit to provide all necessary information and ducuments required to process procurement requests successfully.
- Administration and Knowledge Management
- Maintains up-to-date contact databases, filing systems (digital and physical), and ensures confidentiality of sensitive information.
- Supports reporting and knowledge management by organizing project information, documentation, and correspondence systematically.
- Contributes to efficient internal workflows and ensures that project records and deliverables are complete, traceable, and compliant with GIZ standards.
