Role Purpose<br>
<br>
The Project Management Support Officer provides operational, analytical and administrative support to ensure effective planning, implementation and monitoring of projects in line with UNOPS policies and client/partner requirements.<br>
<br>
The incumbent supports data management, reporting, procurement, financial and/or logistical activities that contribute to efficient project delivery. The role collects, validates and analyzes project data, generating insights and reports to inform evidence-based decision-making and enhance performance. The Project Management Support Officer facilitates coordination among project teams, partners support services units, ensuring timely implementation of activities and compliance with established procedures.<br>

The incumbent may also undertake field missions to support data collection, training and stakeholder engagement, helping strengthen project systems, processes and reporting tools.<br>

Functions / Key Results Expected<br>

1. Data Management, Analysis and Reporting<br>

•Collect, clean, structure and validate project data to ensure accuracy, consistency and reliability.<br>
•Develop and maintain databases, dashboards and information management systems for real-time project tracking.<br>
•Conduct statistical and qualitative analysis to identify trends, generate insights and inform decision-making.<br>
•Support preparation of analytical and visual reports, briefs and presentations for internal and external stakeholders<br>
•Implement automated tools and visualization systems, e.g. Power BI, Looker Studio, etc, to enhance data accessibility and interpretation.<br>
•Ensure rigorous data quality checks and validation of data sources and tools.<br>

2. Project Implementation and Operational Support<br>
<br>
•Support project planning, budgeting and execution, ensuring adherence to UNOPS procedures and client/donor requirements.<br>
•Prepare project documentation, including Terms of Reference (ToRs), agreements, budgets and procurement requests<br>
•Assist in the coordination of workshops, missions, and stakeholder consultations, including travel and logistical arrangements<br>
•Liaise with support service units on procurement, contracting and payment processes, ensuring compliance with UNOPS standards.<br>
•Track project milestones, outputs and deliverables, and alert management to delays or risks.<br>

3. Procurement, Financial and Administrative Coordination<br>

•Support the preparation and monitoring of procurement and workshop plans, ensuring alignment with project needs.<br>
•Conduct market research, support solicitation processes, and assist in bid evaluation and contract administration.<br>
•Monitor project budget utilization, review financial reports, and maintain accurate documentation for audits and reporting.<br>

<p>Employee will be part of the deployment pool and will be required to support deployments to various CONUS/OCONUS locations, as required. This position will require the member to be flexible in the support of assigned deployment/work schedules.</p>
<p>Accounts for all materials and/or support equipment being shipped out of, and received, at the facility. Ensures parts due in from maintenance (DIFM) are properly tracked and takes appropriate actions to meet applicable deadlines. Keeps a running inventory of stock/equipment using appropriate software. Researches and orders parts, materials, and tools for use to ensure maintenance operational capabilities. Ensures the overall serviceability of all support equipment and related items. Keeps track of all assigned government property entering and leaving the facility. Processes paperwork, including filing DD-1149s, for all supply/support activities. Ensures proper allotment of material and/or equipment to appropriate maintenance personnel in support of maintenance operations.</p>

Org. Setting and Reporting<br>The position is located in the Office of the Special Envoy of the Secretary General for Yemen (OSESGY). The incumbent will be based in Amman, Jordan and will report to the Chief of Unit, Procurement.<br> Responsibilities<br>Within the limits of delegated authority, the Contracts Management Officer will be responsible for performing the following duties: • Plans and manages all contractual aspects of a procurement project; • Establishes and maintain work programme and schedules for on-going contracts and newly planned ones. • Maintains effective relations with contractors and service providers. • Supports the development and implementation of operational plans, standard operating procedures (SOPs), initiatives and projects relating to contract compliance and performance management; • Supports the procurement process including providing input to statement of works/requirements (including articulation of performance standards and Key Performance Indicators), assist in the development of technical evaluation criteria and guidance during contract drafting. • Develops a quality assurance plan to provide a systematic method to evaluate services and products. • Participates in the development of contract risk assessments and risk management plans, including mitigating measures; • Develops contract compliance checklists and implementation plans. • Participates in the assessment of contractor performance, including advice and action to address instances of poor performance and/or non-compliance with contractual obligations. • Oversees the adherence to contractual agreements for material, equipment and production costs, performance requirements and delivery schedules by periodic and ad hoc checks.
