<p>Location Amman Associate/ Experienced Associate | Business Support Service | Typing & Translation Services</p><p>During your tenure as an Associate/ Experienced Associate, you will be responsible for typing various documents in Arabic and English with specific emphasis on financial reports. Administrative skills will be required from time to time on an ad hoc basis, and you will demonstrate an openness to learn and the ability to accept constructive criticism. <p><strong>POSITION DESCRIPTION</strong></p>
<p>Under the supervision of the Human Resources and Operations Manager, the incumbent is responsible for the management of the daily operations and procurement activities at the Office from the request to the delivery of supplies, works and services. S/he should align directly with the Amideast’s Procurement Policy. S/he plays a key role in procuring high-quality and cost-efficient supplies. Also, s/he ensures that the Office obtains quality products for competitive prices in a timely fashion and plays an integral role in ensuring the Office sticks to budgets and operates efficiently. The incumbent is responsible for the follow up on the building’s maintenance and the coordination with the related parties to ensure that the building is well-maintained. S/he oversees the providers for services including security, cleaning, catering, and so on. The incumbent supervises and monitors the work of the cleaning, and security staff along with the maintenance workers ensuring that basic facilities, such as water and heating, are well-maintained. The incumbent also backs up the HR and Operations Assistant, on need basis.</p>
<p><strong>RESPONSIBILITIES</strong><br>
<strong>Main Duties:</strong></p>
<p><u>Procurement:</u></p>
<ul>
<li>Records all details of contracts, purchase requisitions and purchase orders in the related database</li>
<li>Maintain and update the SOPs for procurement procedures at the Office which should always align with the Amideast’s Procurement Policy</li>
<li>Overseas inventory control and ordering of supplies</li>
<li>Coordinates between vendors and suppliers</li>
<li>Liaises with various businesses to determine the quality and cost of their products and services</li>
<li>Monitors businesses and products availability to pay the best price for the products and services required at the Office without sacrificing the quality or delivery times</li>
<li>Nurtures relationships with suppliers to negotiate the best prices for the products and services required at the Office</li>
<li>Identifies and researches potential new suppliers</li>
<li>Prepares the required procurement documents, review, and process purchase requisitions in line with Amideast's policies, procedures, and processes</li>
<li>Recommends vendors for award and develops preferred vendor lists</li>
<li>Monitors Office supply (inventory) levels, and reorder when appropriate</li>
<li>Supports the Finance team in distributing cheques</li>
<li>Enters the required data into Aramex application to deliver the required documents</li>
<li>Procures the services required for all Amideast’s events</li>
<li>Adds and/or removes a member to Careem account</li>
<li>Any other work-related tasks</li>
</ul>
<p><u>Facility Management</u>: (In coordination with the HR and Operations Assistant)</p>
<ul>
<li>Maintains and updates SOPs for the facility management and maintenance requests which should always align with Amideast’s Guidelines</li>
<li>Manages the presentation of the Office and coordination with the cleaning team</li>
<li>Handles catering and other related services during events</li>
<li>Acts as a focal point for maintenance requests and cleaning duties</li>
<li>Oversees building repairs and maintenance</li>
<li>Follows up on maintenance orders and ensures they are effectively handled in a timely manner</li>
<li>Communicates and coordinates frequently, accurately, and responsibly with Office staff</li>
<li>Oversees the work of the cleaning and security staff and monitors their attendance</li>
<li>Schedules the daily work for the cleaners</li>
<li>Sets up daily building rounds inspections to identify potential safety and cleaning issues, as well as any required maintenance</li>
<li>Highlights the necessities to the cleaning and security team</li>
</ul>
<p><u>Human Resources:</u> (In coordination with the HR and Operations Assistant)</p>
<ul>
<li>Screens CVs for Amideast vacancy announcements </li>
<li>Adds new employees to the medical insurance plan</li>
<li>Removes employees from the medical insurance plan</li>

<p><strong>POSITION DESCRIPTION</strong></p>
<p>The Proposal Writing & Business Development Manager leads Amideast Jordan’s efforts to expand its donor and client portfolio by identifying funding opportunities, building strategic partnerships, and advancing new business in alignment with the organization’s strategic priorities. The role works closely with the Country Director, headquarters, technical teams in the Jordan office as well as regionally, and external partners to strengthen Amideast’s market positioning and pursue new opportunities.</p>
<p>The incumbent manages the business development process from opportunity identification through proposal submission by researching donor priorities and client needs, pursuing and meeting with new potential clients, assessing Amideast’s service portfolio, and working with technical and operational teams to design responsive, feasible solutions. The role prepares competitive technical and cost proposals, ensures compliance with Amideast’s internal processes, secures required approvals, meets submission deadlines, and maintains relationships with current and prospective donors and clients to support sustainable organizational growth.</p>
<p><strong>RESPONSIBILITIES</strong></p>
<p><strong>Business Development & Partnerships</strong></p>
<ul>
<li>Coordinate the development and implementation of business development plans in collaboration with the Country Director.</li>
<li>Conduct market research and monitor relevant trends to identify potential opportunities and help determine which ones to pursue.</li>
<li>Maintain relationships with donors, local and international government entities, UN agencies, NGOs, private sector organizations, and implementing partners.</li>
<li>Maintain an updated pipeline of opportunities and support the development of partnerships that contribute to organizational priorities.</li>
</ul>
<p><strong>Proposal Development, Writing & Knowledge Sharing</strong></p>
<ul>
<li>Manage the development of proposals, concept notes, expressions of interest, and related documents from initial review through final submission.</li>
<li>Coordinate technical, operational, and financial inputs with subject matter experts, program teams, Finance, Operations, and headquarters teams to develop clear, responsive, and feasible solutions aligned with Amideast’s expertise and client needs.</li>
<li>Ensure proposals meet submission requirements through effective review processes, quality checks, internal approvals, and adherence to Amideast procedures.</li>
<li>Develop and maintain proposal tools, templates, and guidance materials, and provide staff with support and best practices to strengthen proposal writing and business development capacity.</li>
</ul>

<p><strong>QUALIFICATIONS AND SKILLS</strong></p>
<p><strong><em>Required</em></strong></p>
<p><strong>Education:</strong> Bachelor’s degree in International Development, Education, International Relations, Business Administration, Communications, or a related field.</p>
<p><strong>Professional Experience:</strong></p>
<ul>
<li>Minimum of 7 years of professional experience in the international development sector, with exposure to areas such as education, academic testing, workforce development, and youth programming.</li>
<li>At least 3 years of experience in business development, including identifying funding opportunities, developing partnerships, and supporting organizational growth.</li>
<li>Minimum of 6 years of experience in proposal development, including preparing successful technical and cost proposals for U.S. Government agencies, foundations, corporations, and bilateral or multilateral donors (e.g., EU, World Bank, UN agencies).</li>
</ul>
<p><strong>Technical Skills</strong></p>
<ul>
<li>Strong knowledge of donor procurement processes, compliance requirements, and funding mechanisms.</li>
<li>Understanding of monitoring, evaluation, accountability, and learning (MEAL) principles and their application in program design.</li>
<li>Familiarity with Amideast’s technical areas, including education, workforce development, STEM, and youth programming.</li>
<li>Ability to conduct donor and market research and translate findings into effective proposal strategies.</li>
<li>Demonstrated ability to develop competitive proposals and respond to complex donor solicitations, including RFPs, RFAs, and EOIs.</li>
<li>Ability to develop proposals and pitches for private sector companies.</li>
</ul>
<p><strong>Communication & Interpersonal Skills</strong></p>

<li>Excellent English writing, editing, and communication skills, with the ability to develop clear, persuasive, and technically strong proposal content.</li>
<li>Fluency in English required; proficiency in Arabic highly desirable.</li>
